We provide online copies of records, consisting of an image of each page of the record and a searchable PDF, made available through our collection database, RecordSearch.
The service applies to paper files A3 size and smaller that are available for public access and listed on RecordSearch. They may be located in any state or territory.
Records larger than A3, boxes of cards, photographs, microfiche, audiovisual records and records in some other formats are not included in this service.
You can identify and order an online copy of whole files and some photographic images through RecordSearch. On the Item details screen, select 'Request copy' and follow the instructions to pay for your order using our secure e-commerce facility. You will then receive an email confirming your order.
The online copy will be loaded to the item details on RecordSearch. We do not email the images and PDF to you directly.
We will notify you by email (if you have provided a current email address) when the online copy is available, with a link to the item in RecordSearch.
Digital copies of photographic images can be delivered in the following ways:
Please note: Until 1 July 2017 it may take up to 90 business days to make available digital copies of records held in Canberra, while we relocate records to the new National Archives Preservation Facility. The service standard of 30 business days continues for records located in our State and Territory offices. Please refer to our Service Charter for more information.
Within 30 business days – for whole records that have been cleared for public access (access status is Open or Open with Exception).
Within 90 days – for records that have not yet been cleared for public access (access status of Not Yet Examined).
All photographic images including high-resolution and large format material will take approximately 30 days from receipt of payment, subject to availability.
We will notify you by email (if you have provided a current email address) when the online copy is available for viewing. If you haven’t provided an email address, please check the item on RecordSearch 30 business days after you submitted and paid for your order, or check the progress of your copy order.

If you plan to publish, it is your responsibility to determine copyright ownership of the material, and to obtain permission to publish any records that are still subject to copyright.
